Privacy Policy

This Privacy Policy explains what Academic Load (Sebastien Resendes, a sole proprietorship based in Nevada, United States) collects, how we use it, and the choices you have. It applies to the Academic Load website and applications (the “Service”).

1. Information we collect

• Account information. Your email address and a password. Passwords are stored in hashed form by our authentication provider; we never see your plaintext password.
• Content you add. Tasks, courses and their colors, class schedules, timers, theme settings, and the syllabus files you upload along with the dates and labels extracted from them.
• Canvas calendar link (only if you connect it). The private “Calendar Feed” link you paste from Canvas, which we store encrypted, and the assignment titles, due dates and course names read from it. We never ask for or see your Canvas password.
• Group whiteboard. What members draw on a group's shared whiteboard, and any photos they add to a page, are stored so the board is there when you come back; they are visible only to members of that group. Voice calls on the whiteboard are audio sent directly between the members on the call (peer to peer): we do not record, store, or listen to them, and only the connection set-up messages pass through our servers. On some networks a call is relayed through a relay server, which forwards the encrypted audio without being able to hear it. Microphone access is requested by your browser only when you choose to join a call.
• Payment information. Paid subscriptions are processed by Stripe. Stripe collects your card details directly; we do not receive or store your full card number. We receive a Stripe customer identifier, your subscription status, and billing period dates.
• Technical data. Our hosting and infrastructure providers automatically log standard information such as your IP address, browser type, and request timestamps for security and reliability. We use a session cookie to keep you signed in.
• Product analytics. We use PostHog to understand how the Service is used — pages visited, features used, and events such as signing up or uploading a syllabus, along with your account identifier, your email address and approximate location derived from your IP. We do not record your screen. We use this only to improve the Service, never for advertising.

2. How we use your information

• to provide, operate, secure, and improve the Service;
• to process your syllabus uploads — extracting dates and, for subscribers, classifying items (see section 3);
• to handle billing, subscriptions, and support requests;
• to detect, prevent, and respond to abuse, fraud, and technical problems;
• to measure and improve how the Service is used, through analytics;
• to contact you about your account or important changes to the Service, and — only if you opt in — occasional product updates.

We do not use your information for advertising, and we do not run ads.

3. How the syllabus reader processes your files

Quick scanner (the free preview and free accounts):syllabus files are processed on our servers using pattern matching to find dates. The text is not sent to any AI provider.

AI reader (a paid-plan feature, which we have switched on for everyone while Premium is free during our launch): when you use it, the text extracted from your syllabus file is sent to our AI provider, Anthropic, through its API, which returns a structured list of dates and labels. As of the effective date of this policy, Anthropic states that it does not use data submitted through its API to train its models, and retains API inputs and outputs only for a limited period for trust-and-safety purposes before deleting them. We encourage you to review Anthropic’s privacy policy. We keep the extracted dates and labels in your account so the Service can display them; we do not keep the original file contents beyond what is needed to process the upload.

3b. Flashcards, note questions and answer checking

When you ask for flashcards to be made from your notes, ask questions about your notes, or have an answer checked, the text you submit for that request (your notes, the question and your answer) is sent to Anthropic through its API to produce the result. It is sent only when you press the button for that feature, and we keep the flashcards or feedback it returns in your account, not the request itself.

3c. Connecting Canvas

If you paste your Canvas “Calendar Feed” link, our servers fetch that calendar to turn your assignments into tasks, and re-check it about once a day. We read only assignment titles, due dates and course names. The link is private to you: we store it encrypted, never show it back, and delete it (and, if you ask, the assignments it added) when you disconnect. We never ask for your Canvas username or password, and we do not use the link for anything else. Canvas is a trademark of Instructure, Inc.; we are not affiliated with or endorsed by them.

3a. The whiteboard’s AI tutor

If you press “Check my work” (or ask the tutor a question) on the group whiteboard, a picture of the page you are looking at - your handwriting, and any photo or PDF page behind it - is sent to our AI provider, Anthropic, through its API, which returns the tutor’s reply. Nothing is sent until you press the button or switch on “Watch me” (which sends a picture each time you pause, up to a limit), and we do not store the picture. We keep only a count of how many checks each account has made so a daily limit can be applied. When the tutor writes on your board, that writing is saved with the board like anything you write yourself, and you can undo or erase it. If you use the tutor’s voice mode, your browser’s own speech recognition (Apple’s or Google’s, depending on your device) turns what you say into text and your device reads the replies aloud; we receive only the text, never the audio. Anthropic’s handling of API data is described in the section above. Please don’t put anything private on a page you ask the tutor to look at.

3b. Adding tasks from a photo

If you use the camera button on your checklist to add tasks from a photo or screenshot, the picture you choose is sent to our AI provider, Anthropic, through its API, which returns the tasks it can read in it (a name and a due date for each). Nothing is sent until you choose or paste a picture, and we do not store the picture. You see the tasks it found and can change or remove any of them before anything is added to your account; only the ones you keep are saved, like any task you type yourself. We keep only a count of how many pictures each account has had read so a daily limit can be applied. Your browser shrinks the picture before it is sent. Anthropic’s handling of API data is described in the section above. Please don’t send pictures that show anything private, such as other people’s personal details or your own grades and records.

3c. Class sections

A class section is a group run by a teacher. When you join one, the name you enter is visible to the teacher and to the other students in it, and the teacher can see who is in the class, post a schedule and description, run the class whiteboard (including presenting and turning student drawing on or off), and send students into breakout groups. A breakout group is a small group with its own chat and whiteboard; when the teacher brings everyone back, those groups and what was on their whiteboards are deleted. Unlike a study group, a class section never shows anyone’s personal class schedule, free time or checklist to the teacher or to classmates. Class tools are only available to accounts made through the educator sign-up; we store only that setting, and we do not verify who is a teacher. A teacher can also mute a student (so they can’t send chat messages or speak), turn a student’s writing on the whiteboard on or off, and remove a student from the class; for a removed student we keep the name they used, so the teacher can let them back in, until the teacher does or deletes the class. A teacher can upload a syllabus for their class: it is read the same way as in section 3 to find dates, the file itself is not kept, and only the dates the teacher chooses to post are added to the class schedule that students see. A teacher can also upload PDFs or slide decks for a class: their pages are stored as pictures in a private store that only the teacher can read, and when the teacher gives a worksheet to the breakout groups or puts something on the class whiteboard, copies of those pages are added to those whiteboards, where the people on the board can see them (the copies on breakout groups are deleted with the groups). A teacher can also save groups planned ahead; only the teacher can see them. Class whiteboards, chat messages and schedules are kept like any group’s until the teacher or a member deletes them.

4. How we share information

We do not sell your personal information. We share it only in these situations:

• Service providers (subprocessors) that run the Service on our behalf:
  • Supabase — database and authentication
  • Vercel — application hosting and infrastructure
  • Stripe — payment processing
  • Anthropic — the AI syllabus reader, AI flashcards, note questions and answer checking, the whiteboard AI tutor, and reading tasks from a photo (each only when you use that feature)
  • Resend — sending the reminder and account emails you have asked for
  • PostHog — product analytics (no screen recording)
• Legal reasons — to comply with law or a valid legal request, or to protect the rights, safety, and property of you, us, or others.
• Business transfer — if the Service is involved in a merger, acquisition, or sale of assets, your information may transfer as part of that transaction.

5. Data retention

We keep your information for as long as your account is active. If you delete your account, we delete your personal data and content within 30 days, except for records we are required to keep (for example, transaction and tax records) or that are retained in routine encrypted backups for a limited period.

6. Your choices and rights

• Access and update most of your information directly in the app.
• Delete your account. Email academicload@gmail.com from your account address and we will delete your account and data. You can also disconnect Canvas yourself, at any time, in Settings.
• Emails. You can opt out of non-essential emails. We still need to send you essential account and billing messages.
• Regional rights. Depending on where you live (for example, California, or the EU/UK), you may have additional rights such as access, correction, deletion, portability, or objection. Contact us at the address above to exercise them; we will not discriminate against you for doing so.

7. Cookies and local storage

We use a session cookie to keep you signed in, small local-storage entries for preferences (such as your theme), and analytics cookies / local storage set by PostHog to measure usage. We do not use advertising or cross-site tracking cookies.

8. Security

We use HTTPS to encrypt data in transit and rely on established providers (Supabase, Vercel, Stripe) with their own security programs. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Children

The Service is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child under 13 has given us personal information, contact us and we will delete it. If you are between 13 and 18, use the Service only with a parent or guardian’s permission.

10. International users

We operate in the United States, and your information is processed and stored in the United States. By using the Service, you understand that your information will be handled as described in this policy.

11. Changes to this policy

We may update this policy. We will post the new version with an updated “Last updated” date, and for material changes we will give notice by email or in the app.
